IT support that respects privilege and confidentiality
Law firms are trusted with information clients cannot afford to see exposed. We manage the accounts, devices, document systems and email that hold that information, with access organized around matters and a clear record of who can see what.

At a glance
- Who this is for
- Law firms, notary offices and legal practices of roughly 5 to 200 people in BC and Alberta
- Typical environment
- Practice management and document management systems, Microsoft 365, scanners, dictation tools and remote or hybrid lawyers

Technology challenges in legal practice
Documents are the product
Pleadings, agreements, correspondence and evidence must be filed against the right matter, versioned and retrievable. When documents live in personal folders and inboxes, finding the current version becomes a risk in itself.
Access must follow the matter
Ethical walls, conflicts and client instructions mean not everyone in the firm should see every file. Folder permissions built ad hoc over years rarely reflect who should actually have access.
Practice and document management integrations
Practice management, billing and document management platforms such as Clio, PCLaw, NetDocuments or iManage connect to Outlook, Word and scanners. A Microsoft 365 or Windows update can break those add-ins at an inconvenient time.
Lawyers work everywhere
Court, client offices, home and travel all require secure access to files and email from laptops and phones without falling back to personal accounts.
Risks law firms need to plan for
- Trust account fraud: compromised email used to redirect settlement funds or retainers through altered payment instructions
- Phishing aimed at lawyers and assistants using fake court, opposing counsel or document-signing notices
- Privileged documents shared by mistake through open links or forwarded to the wrong recipient
- Former staff, articling students or contract lawyers retaining access to client matters
- Ransomware encrypting the document repository and billing data at once
- Lost phones and laptops with cached client email and documents
Services we recommend for law firms
Managed IT and help desk
Support for lawyers and staff that understands document management add-ins, dictation tools, scanners and practice management integrations.
Email security
Impersonation protection, link and attachment scanning, external sender warnings and domain authentication to reduce payment and phishing fraud.
Identity security and conditional access
Multifactor authentication for every user, sign-in restricted to managed devices where appropriate, and alerts for unusual sign-in activity.
Microsoft 365 security
Sharing restrictions, sensitivity labels and mailbox auditing configured to support confidentiality obligations.
Backup and recovery
Backups of document repositories, practice data and Microsoft 365, kept separate from the production environment and restore-tested.
Configuring Microsoft 365 for confidential work
Default Microsoft 365 settings favour easy sharing. For a law firm, we tighten them: external sharing limited to specific people, links that expire, guest access reviewed, and mailbox auditing enabled so you can see who accessed what if a question arises. Where your licensing includes them, sensitivity labels can mark and protect privileged documents even after they leave the firm.
If your firm uses SharePoint or Teams as its document repository, we structure sites around clients or matters with permission groups that can be updated when the team changes. If you use a dedicated document management system, we keep its Outlook and Office integrations working through updates and coordinate with the vendor so matter-centric filing stays the path of least resistance.
Continuity for deadlines that cannot move
- Restore-tested backups of the document repository, practice management data and Microsoft 365
- Immutable or offsite backup copies that are not reachable from ordinary user accounts
- Secure remote access so lawyers can keep working if the office is unavailable
- Documented vendor contacts and recovery steps for practice and document management platforms
- A plan for court deadlines and closings during an outage, including who to call first
Security controls aligned with confidentiality
- Matter-based or client-based permission groups reviewed on a regular schedule
- Multifactor authentication and conditional access for all users, including part-time and contract staff
- Verbal verification procedures for any change to trust or payment instructions
- Endpoint detection and response, disk encryption and remote wipe on all devices
- Mailbox and file auditing to support investigation if an incident occurs
- Prompt removal of access for departing lawyers, students and assistants
How we work with a law firm
Confidential discovery
We review your systems, integrations and current access model under confidentiality, without needing to open client documents.
Secure identities and email
Multifactor authentication, email protection and mailbox rule reviews come first because they address the most common fraud paths.
Rebuild access around matters
We work with your office manager or IT committee to define permission groups and clean up inherited access.
Protect and test recovery
We confirm backups of every repository and test a restore of real matter folders.
Operate and review
Ongoing support under the agreed scope, with quarterly reviews of access, risks and planned changes.
Professional obligations remain with the firm
We provide technical controls that support confidentiality and privacy-aware operations. We do not give legal or regulatory advice; your firm should rely on its law society guidance and privacy officer for its obligations.
Frequently asked questions
Can your technicians see our client files?
Technicians need administrative access to support systems, but we limit that access to what the work requires, use named accounts, and document access. Confidentiality terms are set out in your agreement.
Do you support Clio, NetDocuments or iManage?
We support the devices, Microsoft 365 integrations, add-ins and accounts these platforms rely on, and coordinate with the vendor for issues within the application.
How do you reduce trust account and payment fraud?
We combine email impersonation protection, multifactor authentication and mailbox rule monitoring with a documented call-back process for payment changes. No technical control removes the need for verification.
Can access be restricted for ethical walls?
Yes. We can configure permission groups in SharePoint or your document system so screened individuals are excluded from specific matters, and review those settings regularly.
Do you provide on-site support for our office?
Most support is remote. On-site visits in Metro Vancouver, the Fraser Valley and Calgary are confirmed for your address and scope.
