What managed IT means at Podium Catchers
Managed IT is an ongoing service relationship in which we take operational responsibility for an agreed set of your technology: the people who use it, the devices they work on, the accounts and applications they sign in to, and the network and servers that hold it together. Instead of calling someone after a problem has already stopped work, you have a provider who maintains the environment, keeps records, and plans improvements with you.
Every engagement is defined by a written scope. It lists supported users and devices, the systems we administer, business hours, escalation contacts, response targets, and the work that sits outside the recurring fee. That document is the basis for how we work together, and it is reviewed as your business changes.
Business problems managed IT is designed to solve
Most organizations we speak with are not short of technology. They are short of clear ownership.
Nobody owns IT
An office manager or a technically confident employee handles passwords, new laptops and vendor calls on top of their real job. Knowledge lives in one person’s head and leaves when they do.
Break-fix costs you can’t plan
Hourly invoices arrive after outages, so the cheapest month is the one where nothing was maintained. Budgeting for technology becomes guesswork.
Security gaps nobody has checked
Multifactor authentication is partly enabled, former employees still have accounts, and no one can say with confidence that last night’s backup actually completed.
Slow onboarding and offboarding
New staff wait days for a working laptop and the right access, while departing staff keep mailbox and file access longer than they should.
Key capabilities
Help desk for your staff
A single place to report issues and request changes, with tickets that record the symptom, business impact, and resolution so recurring problems become visible.
Device and patch management
Operating system and application updates on a maintenance schedule, device inventory, encryption checks, and standard builds for new computers.
Microsoft 365 administration
User lifecycle, licence assignment, mailbox and Teams changes, sharing settings and sign-in policies managed by people who know the admin centres.
Security baseline
Multifactor authentication, endpoint protection, administrator account hygiene and alert review as defined in your scope, not as an optional extra.
Backup oversight
Monitoring of backup jobs for the systems in scope, with periodic restore tests so recovery is demonstrated rather than assumed.
Documentation and vendor coordination
A living record of your environment, credentials vault ownership, and contact with your internet, phone, printer and line-of-business software vendors.
What is included, and what needs separate scope
The final list is set in your proposal. This is the typical starting point.
Typically included
- Remote help desk during agreed business hours for covered users
- Patch and update management for covered Windows and macOS devices
- Microsoft 365 user, licence, mailbox and group administration
- Endpoint protection deployment and alert review on covered devices
- Backup job monitoring for systems listed in the scope
- Onboarding and offboarding of staff accounts and devices
- Environment documentation and a quarterly service review
- Coordination with your third-party technology vendors
Requires separate scope or quotation
- Hardware, software and Microsoft licence purchases
- Projects such as office moves, server replacements or tenant migrations
- After-hours or weekend coverage, unless written into your plan
- Support for line-of-business applications beyond vendor coordination
- On-site visits outside the confirmed service area or allowance
- Regulatory compliance certification or legal advice

How the engagement works
Consultation
We discuss your team size, locations, systems, current provider arrangements and what is hurting most.
Discovery and written scope
We inventory users, devices and services, identify urgent risks, and prepare a proposal with inclusions, exclusions and pricing.
Onboarding
Access is transferred securely, monitoring and protection tools are deployed, documentation is created, and staff learn how to request help.
Stabilize
Urgent gaps found in discovery are prioritized, such as missing multifactor authentication, unpatched devices or failing backups.
Operate and review
Day-to-day support continues under the agreed scope, with quarterly reviews of tickets, risks and the roadmap.

Frequently asked questions
How is managed IT priced?
Recurring support is priced per covered user per month, with some components priced per device or per site. The pricing calculator shows proposed figures; your written quotation confirms the final price after discovery. Hardware, licences and projects are quoted separately.
Is there a minimum number of users?
We typically work with organizations of about 5 to 200 employees. Smaller teams can discuss a scoped arrangement during the consultation.
Do you offer 24/7 support?
Coverage hours are agreed in your scope. Standard plans cover business hours; extended or after-hours arrangements must be written into the proposal and are not assumed.
Can you work alongside our internal IT person?
Yes. A co-managed arrangement defines which tasks each party owns, how approvals work, and how escalations are handled.
Do you provide on-site support?
Most support is delivered remotely. On-site visits in Metro Vancouver, the Fraser Valley and Calgary are confirmed for your specific address and scope before you rely on them.
What happens to our data and passwords if we leave?
Documentation, administrative credentials and configuration records belong to you. Offboarding transfers them to you or your new provider through an agreed handover.
