Why onboarding is a separate project
The first weeks with a new IT provider involve a burst of work that does not repeat: discovering what exists, collecting passwords from wherever they are kept, installing management agents, and correcting problems that would otherwise make day-to-day support unreliable. Folding that effort into the monthly fee hides it; we prefer to scope and price it openly so you can see what is being done.
The onboarding package is quoted rather than sold at a fixed price because the effort depends heavily on your starting point. A 12-person office with a cooperative outgoing provider and good records is a very different job from a 120-person firm across three sites where credentials have been lost. During the consultation we estimate the work, and the quotation lists exactly what will be delivered.
Deliverables
Environment documentation
Users, devices, licences, network, servers, key applications, vendors and support contracts recorded in our documentation system and shared with you.
Secure credential handover
Administrative accounts collected, rotated where appropriate and stored in a managed vault you retain ownership of.
Tooling deployment
Remote management, endpoint protection and monitoring agents deployed to every device covered by your plan.
Stabilization and close-out
Agreed urgent fixes, such as enforcing multifactor authentication, followed by a close-out report listing remaining risks.
Typical onboarding scope
Your quotation defines the final list. This is a common starting point.

- Physical or remote access to every device to be covered
Who needs this package
New managed IT customers
Required before Managed IT Support or any managed IT package starts, unless an equivalent documented handover already exists.
Documentation-only projects
Organizations with internal IT staff that want an outside party to produce complete documentation without ongoing support.
Already assessed
If you recently bought an IT Infrastructure Health Check, its inventory is reused and the onboarding effort is reduced accordingly.
How the quotation is built
The quotation reflects four factors: the number of users and devices, the number of sites, the quality of existing documentation and credentials, and the list of urgent fixes you want completed before go-live. Each is discussed during the consultation so there are no surprises.
There is no published fixed price for this product. Any figure shown in the store or calculator is labelled as requiring a quotation, and the written quotation confirms the price before work begins. Payment terms, such as a deposit and final invoice, are stated in the quotation.
Onboarding timeline
Two to six weeks is typical, depending on size and the outgoing provider’s cooperation. It is an estimate, not a commitment.
Plan
We agree the onboarding plan, the list of urgent fixes and the go-live date.
Discover and collect
We inventory the environment and collect credentials from you and the outgoing provider.
Deploy
Management and protection tools are installed and devices appear in our systems.
Stabilize
Urgent fixes are completed and documentation is reviewed with you.
Go-live
Staff orientation takes place, the help desk takes over and the close-out report is delivered.
Terms
Scope, price and terms are drafts pending business and legal approval and are confirmed in your written quotation before any payment. Timelines depend on access and third-party cooperation. Documentation and credentials collected during onboarding remain your property. Taxes are calculated on the invoice.
Frequently asked questions
Why isn’t onboarding included in the monthly fee?
Onboarding is a one-time effort that varies widely between organizations. Quoting it separately keeps the monthly fee fair for everyone and shows you exactly what is done.
What if our current provider will not cooperate?
We can still onboard, but recovering access takes longer and the quotation reflects that. We plan the transition so your staff are not left without support.
Can onboarding start before the old contract ends?
Yes. An overlap of a few weeks is common and makes the handover smoother.
Do we get the documentation if we leave later?
Yes. Documentation and credentials belong to you and are handed over through an agreed offboarding process.
